Corp-Solutions, Inc. is a government contractor that provides training and education services in order to prepare Department of Defense and other US national security stakeholders to thrive in complex operational environments. When we first met Jill, she was apprehensive about her new role as bookkeeper for their small, family-owned business. She was unsure as to how she would be able to take on this responsibility of maintaining accurate financial records, since she had no background in accounting, nor any experience using QuickBooks accounting software.
Solution:
Through a series of coaching sessions, Y-OPA provided Jill with customized training on the features of QuickBooks that were important for Corp-Solutions. This included guidance and training in the following areas:
Maintaining/updating the Chart of Accounts and Items Lists
Entering, paying bills and managing accounts payable
Entering invoices, applying customer payments and managing accounts receivable
Allocating expenses to the appropriate contracts, a requirement for DCAA compliance
Updating the general ledger with bank transactions, such as checks, deposits, etc.
Managing credit cards and loans
Processing payroll using QuickBooks Assisted Payroll Service
Reconciling the bank and credit card accounts
Generating financial reports such as the Profit & Loss and Balance Sheet
Our very detailed and personalized QuickBooks training quickly provided Jill with the basic knowledge needed to handle all of those daily bookkeeping tasks in QuickBooks. But we did not stop there. While showing Jill how to use QuickBooks was important, we also guided her on establishing a bookkeeping process to keep her financial files organized and complete.
Results:
Our coaching services gave Jill the confidence she needed to embrace her new responsibility as the full-charge bookkeeper for her business. With her becoming more comfortable with her role, this allowed her husband to then focus on developing and managing the business. As a result, their firm has become a successful, multi-million dollar company. In fact, recently the UMW Small Business Development Center awarded Corp-Solutions as the 2013 Virginia Veteran Owned Small Business of the Year Award.
